Your wedding is more than a single day.

It is a full experience, a meaningful gathering, and a chance to be fully present with the people you love most.

Based on our conversation, I understand you've already done much of the planning work and feel comfortable managing many of the details leading up to the wedding. What you're really looking for is a trusted team to step in during the final stages, organize all of the moving pieces, and ensure everything comes together exactly as you've envisioned.

A major priority is being able to fully enjoy your wedding day without serving as the point person for vendors, family members, guests, or last-minute questions. You want the confidence of knowing an experienced professional is overseeing the timeline, managing logistics, troubleshooting issues before they become problems, and keeping the day running smoothly from start to finish.

You also shared that you're still finalizing a few key vendors, specifically your florist and DJ. We believe our HEC Preferred Vendor Program may be especially valuable as you complete your vendor team. Through our preferred partnerships, we can connect you with trusted professionals who align with your vision while potentially providing access to exclusive client perks, preferred pricing, or discounts.

Your Planning Options

    Investment: $1,800 + 18% service fee

    Designed for couples who have planned their wedding independently and want professional support in the final weeks. Planning begins approximately three weeks prior to your wedding day.

    This phase focuses on confirming logistics, aligning your vendor team, refining your timeline, and ensuring everything is in place for a seamless and well-executed celebration.

    INCLUDED IN YOUR EXPERIENCE

    Planning Phase

    • Three planning calls (up to 60 minutes each)

    • Final vendor confirmations and coordination

    • Access to Heirloom’s planning workbook and timeline system

    • Wedding day timeline refinement

    • Coordination of vendor insurance requirements

    Wedding Day

    • Up to seven hours of lead planner coverage

    • Oversight of ceremony, cocktail hour, and reception setup

    • Setup of personal items such as signage, menus, and guest book

    • Cueing of ceremony and key formalities

    • Vendor management and point-of-contact communication

    • Distribution of final payments and gratuities

    Staffing
    One Lead Planner

    Not included in this package
    Venue sourcing, vendor sourcing, design development, rental installation, floral setup, or breakdown services

    Investment: $2,995 + 18% service fee

    Designed for couples who have planned their wedding and want professional oversight beginning approximately six weeks prior.

    We step in to finalize details, align your vendor team, and manage the flow of your day so everything unfolds seamlessly.

    INCLUDED IN YOUR EXPERIENCE

    Planning Phase

    • Up to six structured planning checkpoints

    • Creation of a comprehensive wedding day timeline

    • Vendor confirmations and final coordination

    • Non-legal review of vendor contracts

    • Access to Heirloom’s planning workbook and timeline system

    • Attendance at venue walkthrough (as applicable)

    Wedding Day

    • Up to ten total hours of coverage across rehearsal and wedding day

    • Oversight of ceremony, cocktail hour, and reception setup

    • Setup of personal items

    • Cueing of ceremony and key formalities

    • Vendor management and point-of-contact support

    • Distribution of final payments and gratuities

    • Guest logistics support including hotel blocks and transportation

    Staffing
    One Lead Planner and one Assistant

    Not included in this package
    Venue sourcing, vendor sourcing, design development, rental installation, floral setup, or breakdown services

  • Investment: $6,195 + 18% service fee

    Designed for couples who have secured key vendors and want structured guidance, design cohesion, and support in the final months leading up to the wedding.

    INCLUDED IN YOUR EXPERIENCE

    Planning Phase

    • Regular planning meetings (up to nine one-hour calls)

    • Budget tracking guidance

    • Comprehensive design consultation including aesthetic direction, rentals, and florals

    • Non-legal review of contracts

    • Access to Heirloom’s planning workbook and timeline system

    • Vendor meeting attendance as needed

    • Rental guidance and sourcing support

    • Timeline creation and management

    • Vendor confirmations and final coordination

    • Guest logistics support including hotel blocks and transportation

    • Wedding website guidance

    • Venue walkthrough attendance

    • Rehearsal coordination (one hour, where applicable)

    Wedding Day

    • Unlimited hours of lead planner coverage across rehearsal and wedding day

    • Oversight of ceremony, cocktail hour, and reception setup

    • Setup of personal items

    • Cueing of ceremony and key formalities

    • Vendor management and point-of-contact support

    • Distribution of final payments and gratuities

AN INDUSTRY-STANDARD 18% SERVICE CHARGE IS APPLIED TO ALL PLANNING PACKAGES.
This supports our planning systems, team preparation, and behind-the-scenes execution required to deliver a seamless wedding experience.
*Gratuities are not included and are always at your discretion.

So, what’s Next?

Make it official: sign your contract, submit your booking fee, and your date is locked in

Contract & Payment

When you're ready, we’ll send over your contract and invoice. the proposal will remain active for seven days, giving you time to look everything other and ask any final questions.

Our standard payment structure is:

  • 33% at booking

  • 33% midway through the planning process

  • 33% one month prior to the wedding

If you prefer a different payment schedule, we’re happy to accommodate where possible.

Officially Booked!

Once your contract is signed and your initial payment is received, your date is officially secured. From there, we begin preparing for your planning experience.

Here’s what happens next:

  • You’ll receive a welcome email confirming all details

  • We’ll begin building your custom planning portal and wedding workbook, tailored specifically to your celebration

  • This process takes a few days as we thoughtfully prepare everything for you
