From inquiry to “I DO”

    • Complete your client profile in the Planning Workbook under the "About You" tab before our first meeting

    • Upload any signed contracts or proposals to the Contracts folder

    • Add your vendor and venue contact information to your Planning Workbook

    • Schedule your first planning meeting by emailing us at hello@heirloomeventcompany.com whenever you're ready, and we'll review your plans together to outline the next steps for your wedding

    • Please cc our team on any vendor emails. Even if we do not respond to every message, we are following along and adding key information to your file to stay organized

    • As we book vendors together, add their contracts and contact details to your Planning Workbook so everything lives in one place

    • Expect periodic check-ins from your planner with updates on decisions, budget, and open to-dos. Check-in frequency varies by package, so don't stress if you haven't heard from us in a bit — no news is good news, we're always working in the background

    • We'll share design concepts, mood boards, and vendor recommendations as your day takes shape

    • Keep an eye on your inbox for anything that needs your input or approval so we can keep momentum going

    • 2 months before the wedding, your Timeline and Details questionnaires are due

    • Your second planning meeting and venue walkthrough will take place during this phase

    • Depending on your package, it might be time to schedule your second planning meeting and venue walkthrough. Email us at hello@heirloomeventcompany.com to get this scheduled

    • This is a great time to confirm final vendor payments and gratuities so be sure check out our Gratuity Guide for reference

    • 2 weeks out - Final call with your lead planner

    • 10 days out - Your final timeline and floor plan are shared with all vendors
